ChatGPT alternative

Alternatives to ChatGPT: what actually works for companies

The search for a ChatGPT alternative rarely has anything to do with the quality of ChatGPT. It has to do with staff pouring company data into private accounts, with nobody knowing where that data ends up, and with the fact that a single model is not the right tool for every job. This overview sorts through the options – including the ones where we are not the vendor.

Seven alternativesFree and paidNo wishful thinking

Why companies start looking

In the conversations we have, it is almost always the same three triggers – and none of them is “ChatGPT cannot do enough”.

Data protection is unresolved

Anyone using the free private tier has no data processing agreement, no commitment on where processing takes place and no control over what happens to their input. For personal data or trade secrets, that is not a workable basis.

It is already happening – just invisibly

Shadow AI is the norm, not the exception. Staff have long been using some tool or other, only without rules and without management knowing. Offering an alternative is often more effective than issuing bans.

One model is not enough

Contract review, advertising copy, spreadsheet analysis and programming each favour different models. Committing to one vendor means accepting a compromise for every task outside that vendor’s strengths.

The alternatives at a glance

Sorted by what they actually are – a model, an assistant inside an office suite, or a platform. Those three things get confused a lot.

Claude by Anthropic

The closest competitor for demanding text work. Strong when long documents need to be read carefully – contracts, tenders, reports. There is a free tier with limits and paid business tiers with a data processing agreement.

Gemini by Google

Large context windows and tight integration with Google Workspace. Sensible for companies already working in Google. If you run Microsoft 365, that closeness buys you little.

Mistral from France

The best-known European provider, and with Le Chat also available as a finished chat service. Fast, economical and competitive on everyday tasks. On the hardest problems the top US models are currently ahead.

Microsoft Copilot

Not a model of its own but an assistant inside Word, Excel, Outlook and Teams. Strong where your data already lives in Microsoft 365. Anyone looking for a Copilot alternative usually wants something that also works outside the Office interface and does not require a licence per seat.

Perplexity

Built for research with sources. Good for checking facts, less intended for working on your own documents. More of a complement than a replacement.

Open models in your own data centre

Models such as Llama, Qwen or Mistral can be run on your own hardware. Your data then never leaves the building. In return you need GPUs, someone to operate them and the willingness to keep up with every model generation. For most mid-sized companies this is more expensive than it first sounds.

Multi-model platforms

One access point with several model families behind it, plus your own documents, permission management and a contract. That is the route novendix.AI takes – and the reason we have no incentive to favour a particular answer to the question of which model is best.

Free alternative or paid – the honest difference

“Free” is one of the most common additions to this search. For private use there is nothing wrong with it. Inside a company it merely moves the problem.

  • No data processing agreement. Without a DPA under Art. 28 GDPR, no personal data may be processed there – not an applicant’s CV and not a customer’s email.
  • No committed processing location. With free services it is usually unclear which country the computation happens in. Third-country transfers require additional safeguards and documentation.
  • Input can be used for training. Many vendors only rule this out on business tiers. Whatever has made it into training is not coming back.
  • No permission management. Everyone has their own account. Whoever leaves the company takes their history with them.
  • No auditability. In an audit there is no way to show who processed what, and when.

What an orderly rollout actually costs – licences, introduction, training, operation – is worked through in What AI really costs a company. The checklist for using ChatGPT itself is on Using ChatGPT in a GDPR-compliant way.

Which alternative for what

An orientation, not a rule. The only comparison that counts is the one against your own tasks.

The strengths of the individual model families are covered in more depth in the LLM comparison. Every model available at novendix.AI is listed on AI models at a glance.

What an alternative has to deliver in a company

Five points every solution should be measured against – regardless of who it comes from.

  • A data processing agreement and a named processing location. Both in writing, not as a marketing claim.
  • No training on your input. Ruled out contractually, not merely switchable in the settings.
  • Permissions and access managed centrally. Accounts belong to the company, not to the individual.
  • The model must be replaceable. Changing vendor must not mean rebuilding the whole solution.
  • Auditability. In an audit it must be possible to show how data was handled.

How novendix.AI addresses these points is set out on Privacy and security. What the EU AI Act adds on top is covered in the EU AI Act for mid-sized companies.

Frequently asked questions about ChatGPT alternatives

What is the best alternative to ChatGPT?

There is none that is best at everything. For careful work on long documents Claude is usually the strongest choice, for working directly inside Microsoft 365 it is Copilot, for research with sources Perplexity, and for a European provider Mistral. If you would rather not commit, use a platform that gives you access to several models.

Is there a free alternative to ChatGPT?

Yes – Claude, Gemini, Mistral and several others have free tiers with usage limits. For private purposes that is enough. In a company they lack a data processing agreement, a committed processing location, permission management and auditability. Personal data and trade secrets do not belong in a free account.

Is ChatGPT allowed in companies at all?

With a business licence, a data processing agreement and an internal policy, use is possible. What is not permitted is processing personal data through private free accounts. The checklist is on Using ChatGPT in a GDPR-compliant way.

What is a European alternative?

Mistral from France is the best-known European model provider. Alongside that there are platforms that operate models of various origins in data centres inside the EU. For the data protection question, the processing location is what matters, not the nationality of the model.

What is an alternative to Microsoft Copilot?

Copilot is an assistant inside Microsoft 365. Anyone looking for an alternative usually wants one of two things: to use AI outside the Office interface as well, or to avoid buying an extra licence for every workstation. Platforms with their own interface that connect Microsoft 365 as a data source deliver both, instead of living inside it.

Do we have to commit to one model?

No, and it is usually not wise. The ranking of the models changes by the week. It makes more sense to choose a solution where the model can be swapped without policies, document integration and training starting over.
