What AI really costs in a company.
The licence price is the smallest item and the only one every vendor puts on its website. This page works through openly which cost blocks actually arise, which of them are one-off, and how to tell whether the whole thing pays off.
The five cost blocks
Comparing only the licence price means comparing the wrong thing. Together, these five items determine what an AI rollout costs.
1. Licences
The price per user per month. Predictable and easy to compare. At novendix.AI €25, €35 or €45 per user per month plus VAT, cancellable monthly.
2. Model usage
Heavier models cost more per request than economical ones. With us the Standard models are included in the licence price; for the stronger tiers there is credit that you book. Which models sit in which tier is shown by AI models at a glance.
3. Connecting your systems
The item with the widest range. A standard connection to Microsoft 365 is manageable; a connection to an ERP grown over years with its own data structures is a project.
4. Rollout and training
Half a day of introduction per team is money well spent. Without training two expensive effects appear: the tools go unused, or they get used wrongly.
5. Internal time
The most frequently overlooked item. Someone has to pick use cases, check results and write guidelines. That time appears in no quote, but it is spent all the same.
A worked example
Twenty employees, Business package, no special integration. The figures are rounded and exclude VAT.
The counter-calculation is simpler than it is often made out to be: if twenty people save two hours a week on average, the licence cost stands against roughly 160 working hours a month. Whether those two hours are realistic can be found out in ten days of trial use on your own tasks – not by estimating.
Where costs run away
Typical cost drivers
- Licences for everyone although only some people use them
- The strongest model for tasks a standard model handles
- Custom integrations before the benefit is proven
- Running several tools in parallel without deciding
- Pilot projects with no stopping criterion
What keeps costs down
- Start with one department, not the whole company
- Standard models as the default, stronger models chosen deliberately
- Use monthly cancellation instead of an annual commitment
- Integrations only once the use case is settled
- Define in advance how success will be measured
Frequently asked questions about AI costs
What does AI cost a company?
At novendix.AI the licence share is between €25 and €45 per user per month plus VAT. On top of that, depending on the project, come credit for the stronger models, one-off costs for rollout and integration, and internal time. For twenty people on the Business package that is around €8,400 in licence costs a year.
What exactly does novendix.AI cost?
Starter €25, Business €35, Enterprise €45 – each per user per month plus VAT, cancellable monthly. Every package starts with a ten-day free trial. The full breakdown is on the page Pricing.
Are there hidden costs?
No, but there are items that appear on no price list: connecting your own systems, the rollout, and internal time. That is exactly why they are listed on this page.
How much effort is connecting existing systems?
That depends on the system. A connection to Microsoft 365 is usually manageable; a connection to an ERP grown over years with its own data structures is a project in its own right. We assess it beforehand rather than quoting a flat figure.
When does AI pay off in a company?
On paper, once the working time saved exceeds the licence and rollout costs. That calculation only becomes reliable with your own figures. The trial period is there for exactly this: run two or three real tasks and measure how long they take before and after.
