Knowledge management with AI: ask instead of search
A company’s knowledge sits in manuals, network drives, mailboxes – and in the heads of a few colleagues. Traditional knowledge bases usually fail because nobody maintains them. AI changes how people get to that knowledge: instead of searching through folders, employees ask a question and get an answer drawn from the approved documents.
Why traditional knowledge management often fails
Nobody maintains the wiki
Knowledge bases go out of date because adding entries takes time and nobody benefits from it directly.
Search only finds file names
If you do not know the exact term, you will not find the document – even if the answer is in it.
Knowledge retires with the people
Decades of experience sit in a few heads. Whatever is not written down is missing once they leave.
How AI-supported knowledge management works
Store your documents
Attach manuals, policies, price lists and project documents to assistants or projects – or connect sources such as Microsoft 365.
Control access
Each assistant and each project only receives the knowledge intended for its users. Visibility: private, workspace or shared.
Ask questions
The platform picks out matching passages and gives them to the language model as a basis. The model is not trained on them.
The technology behind this is explained in RAG explained: AI with your own documents. What to watch out for with SharePoint and OneDrive is covered in Microsoft 365 as a knowledge base.
The building blocks in novendix.AI
- Knowledge attached to assistants. Files stay attached to the assistant permanently; relevant excerpts flow into the answers. See Creating AI agents.
- Projects. One project per customer, tender or initiative brings together chats, files, instructions and an automatic reminder.
- Full-text search in files. The “Files” area searches file names and content – including the document whose name nobody remembers.
- Memory. The platform permanently remembers relevant facts; memories can be reviewed, deleted, exported and imported.
- Formats. PDF, Word, Excel, PowerPoint, CSV, images and audio files, plus meeting transcripts as a new source of knowledge.
- Connecting existing systems. On request, we connect Confluence, databases, ERP and legacy systems individually.
Where AI knowledge management fails – and how to avoid it
- Too much at once. Start with one knowledge source for one department, not with the entire network drive.
- Outdated documents. The AI answers from what it is given. If you do not weed out old versions, you get old answers.
- Permissions that are too broad. What nobody found before, the AI will find. The permissions concept belongs before the launch – see Permissions and AI.
- No testing. Write down ten typical questions with known answers and check them regularly – that is what evals are for.
Your first knowledge source in three weeks
Week 1: selection
One department, one subject area, ten typical questions with known answers. Sort out the relevant documents and bring them up to date.
Week 2: set-up
Create assistants, store the documents as knowledge, set the visibility and add the ten questions as evals.
Week 3: operation
Release it to the department, collect feedback, add missing documents – then move on to the next subject area.
How to embed this in a wider rollout is shown in AI rollout in 90 days.
Where AI knowledge management pays off most
Service and support
Answers from manuals and previous cases instead of asking the one expert.
Onboarding
New employees ask the assistant instead of the colleague at the next desk.
Sales
Product details, pricing logic and reference texts at the push of a button.
Administration and HR
Make policies, works agreements and forms easy to find. See AI in HR.
Frequently asked questions about knowledge management with AI
What is AI-supported knowledge management?
An approach in which employees ask questions in natural language and the AI compiles the answer from approved company documents – instead of someone searching through folders and wikis.
Is the AI trained on our documents?
No. The documents are searched at runtime. Only models that contractually do not train on customer data and do not store requests are enabled.
Do you need knowledge management software for AI knowledge management?
Not necessarily. For many mid-sized companies, an AI platform to which existing documents are attached is enough. A dedicated knowledge base is worthwhile if content is maintained editorially anyway.
Can we connect Confluence or SharePoint?
Microsoft 365 can be connected as a source; we connect Confluence, databases and other systems individually. Talk to us about which sources you have.
How secure is AI knowledge management with novendix.AI?
The platform runs in a German data centre, the models in the EU. You control access via assistants, projects and their visibility. Details on Privacy and security.
Start with one manual
Ten days free: upload a manual, create an assistant and ask ten real questions.
